The importance of ERP systems in Modern Entrepreneurship!

From myDATA compliance to full digital transformation:

In today’s constantly evolving economic landscape, businesses are called to manage a huge volume of data, complex processes, ever-increasing tax obligations, and continuous demands from customers, suppliers, and partners. In this context, ERP systems (Enterprise Resource Planning) are no longer a luxury – they are a strategic necessity.

The importance of ERP systems in Modern Entrepreneurship!

Why are ERP systems more critical than ever?

ERP systems function as the “heart” of a business, integrating all the key departments and functions (accounting, warehouse, sales, procurement, human resources) into a unified platform, achieving:

  • Optimized resource management
  • Reduced costs and minimized errors
  • Real-time business insights
  • Faster, data-driven decision-making
  • Full compliance with tax and regulatory requirements
  • Enhanced customer service and experience

Nevertheless, the technological organization of a business must not only be functional and efficient; it must also be fully compliant with the law, particularly with the following obligations:

1. Electronic Invoicing – myDATA – Electronic Books of AADE

Based on A. 1138/2020 and the latest decisions of the AADE, all Greek businesses are required to transmit their total revenues and expenses to the myDATA platform. The update of myDATA is carried out through the following transmission channels:

  • ERP systems for the transmission of revenues and expenses
  • Electronic invoicing provider services, for issuer documents
  • Information system for FHM, only for retail through FHM.
  • Application timologio of the AADE
  • Special registration form of the AADE, with specific criteria.

2. Mandatory electronic invoicing for B2G transactions

According to KYA 52445/2023 and the timelines set forth in the decision, public suppliers are required to issue electronic invoices using the services of an Electronic Invoicing Provider.

3. Mandatory electronic invoicing for B2B transactions

The Hellenic Republic has received approval from the European Union to make electronic invoicing mandatory for B2B transactions. It is important to note that a decision regarding the implementation of this obligation is expected to be published.

4. Connection of POS through YPAIHE or FHM

ERP systems play a crucial role in the operation and integration of POS systems, especially in the context of decision A.1155/2023. According to this, every card transaction through POS requires prior approval either from the Hellenic Authority for Public Revenue or from the cash register. The ERP system takes on the task of managing this process: it coordinates the communication of the POS with the appropriate approval mechanism, records the collection, and transmits the transaction to the Independent Authority for Public Revenue, using the official data submission channels.

5. Digital Inventory Movement

With the implementation of the Digital Inventory Movement, the Ministry of Finance and the Independent Authority for Public Revenue (AADE) are taking another step towards the full digitization of tax documents and commercial activity. The Digital Delivery Note concerns the electronic recording and transmission of all goods for movement, enhance transparency, traceability, and tax control.

In this context, the following are required:

  • Issuance and transmission of Digital Transport Documents with all necessary details on the myDATA platform (Shipping Note, TDA, etc.)
  • Real-time monitoring of the movement of goods and inventory

  • Integration of logistics and fleet management functions (e.g., drivers, routes, delivery points)

The timely adaptation of businesses to the new regime of the Digital Delivery Note not only ensures tax compliance but also provides real business value, from better organization of shipments to reduced errors and delays.

6. Digital Customer Registry

According to decision A.1057/2025, the Digital Customer Registry is the digital application for record-keeping of customers, which is updated in real-time for the issuance of wholesale or retail documents. This specific obligation pertains to certain sectors and is expected to expand.

In the Digital Customer Registry, the customer is recorded when they enter the business premises. Then, the customer is updated about the tax document that will be issued, and when they leave the business premises, the customer is closed out. It is important to mention that the customer registration is updated immediately and in real-time upon the issuance of the revenue tax document, either with the MARK of the receipt or with the details of the receipt, if a fiscal cash register is used.
